Automating accounts payable and accounts receivable can help businesses improve cash flow, strengthen financial controls and give finance teams more time for strategic planning and decision-making.

By Raymond Lim, Executive Director – Advisory at BDO Malaysia

Finance leaders today are expected to do more than record transactions, prepare reports and ensure financial accuracy. They must also maintain healthy cash flow, strengthen governance, support business growth and enable better decision-making.

As organisations navigate economic uncertainty and increasing regulatory demands, effective working capital management is becoming an important part of long-term business success. While revenue growth and cost reduction remain priorities, how efficiently a business manages its cash flow can be equally significant.

Accounts Payable (AP) and Accounts Receivable (AR) are central to this process. Once viewed as routine finance functions, they are increasingly being reassessed for their potential to improve liquidity, strengthen operational resilience and support overall financial performance.

Why Finance Teams Need to Rethink Automation

Despite advances in financial technology, many organisations continue to rely on manual processes. Finance teams spend considerable time entering invoices, reconciling transactions, routing approvals, following up on outstanding payments and consolidating information from multiple systems.

These repetitive tasks can be automated, allowing finance professionals to devote more time to financial analysis, strategic planning and business decision-making.

By reducing manual work and bringing financial information together more effectively, automation can also give organisations a clearer and more timely view of their financial position.

AP and AR Automation as Strategic Tools

Finance leaders are increasingly looking beyond automation as a way to reduce administrative workloads. Instead, they are recognising its potential to improve financial visibility and support better business decisions.

Technologies such as intelligent document processing, workflow automation, artificial intelligence (AI) and real-time analytics are helping organisations transform their finance operations.

For example, invoices can be captured and matched automatically, approvals can be routed according to predefined rules, and payment and collection activities can be monitored through automated workflows.

These capabilities can help finance teams manage transactions more consistently while improving visibility over cash movements across the business.

How Accounts Payable Automation Helps

AP automation can make invoice processing more efficient, improve approval controls and help businesses manage payment schedules more effectively.

Better visibility over upcoming payments allows finance teams to anticipate cash requirements and plan accordingly. It can also support stronger supplier relationships by helping organisations manage payments more consistently.

How Accounts Receivable Automation Improves Cash Flow

AR automation helps businesses issue invoices promptly, monitor outstanding balances and follow up on overdue payments.

More timely and consistent collections can improve cash flow and reduce Days Sales Outstanding (DSO), which measures the average number of days a business takes to collect payment after making a sale.

Reducing DSO can help businesses access cash sooner, giving them greater flexibility to meet operational needs and pursue growth opportunities.

Reimagining the Role of Finance Professionals

Individually, improvements in processing and collection times may appear modest. However, across hundreds or thousands of transactions, these gains can accumulate, improving financial flexibility and resilience to changing market conditions.

As routine processing becomes more automated, finance professionals can focus more on activities that require judgement and a broader understanding of the business, including:

  • Identifying where cash is tied up across operations.
  • Understanding which customers are taking longer to pay.
  • Managing payment cycles more effectively.
  • Identifying emerging financial risks.
  • Finding opportunities to improve financial performance.

These responsibilities require more than transaction processing. They call for analysis, commercial awareness and the ability to translate financial information into practical action.

For finance leaders, the shift means treating AP and AR as integral parts of a wider financial strategy rather than isolated back-office functions.

Automation can improve efficiency, but its broader value lies in providing better information and giving finance teams more capacity to act on it.

Connecting Working Capital Management to Business Strategy

Strengthening working capital management begins with understanding how money moves through the business. With the right processes, information and technology in place, finance teams can make better-informed decisions and establish a stronger financial foundation for the organisation.

By combining AP and AR automation with effective financial controls and timely reporting, businesses can improve cash flow visibility, manage payment cycles and support more informed planning.

For organisations looking to modernise their finance functions, the priority is not simply to automate existing tasks. It is to use automation strategically to improve processes, strengthen financial performance and create greater value across the business.

Businesses seeking to explore these opportunities can work with technology advisory teams to develop practical automation strategies tailored to their operational needs.
